Ottawa-Outaouais Interclub Photo Competition Guidelines 2005

Format of the Competition:

Prints shall be judged separately from slides.
Digital slides (projected digital images) will be treated the same as film slides (all one category) in terms of number of submissions, judging and awards (see details below).

Entering the Competition:

To enter, a participant must be a member in good standing of one of the following clubs:

  1. Camera Club of Ottawa
  2. Club Polarisé
  3. RA Photo Club
  4. Orléans Photo Club

Each member can enter a maximum of two (2) images on topic only. There will be no “general” category.

A competitor who is a member in good standing of more than one of the clubs listed above may enter photos on behalf of any or all of the clubs they are members of, however, the maximum number of entries from any one individual is two (2).

An image that has been entered in a previous year cannot be re-entered in another year (in any medium) unless it is drastically altered and becomes, in fact, a totally different photograph (most alterations by cropping do not qualify).

Submission of Club Entries:

All entries must be colour coded according to the list below. The colour code for each is as follows:

  1. Camera Club of Ottawa   PINK
  2. Club Polarisé                   GREEN
  3. RA Photo Club                 BLUE
  4. Orléans Photo Club          YELLOW

Each entry is to be accompanied by a colour coded entry form clearly indicating:

  1. the colour-coded number and the format (slide, medium format, digital slide or print);
  2. the name of the competitor

Print Entries:

To facilitate handling and to minimize the danger of damage, print entries must have a maximum exterior dimension of 16” x 20” including the mounting board or mat. There is no minimum size for print entries.

Multiple images in a single mount are considered as one entry and must be relevant to each other.

There must be nothing on the front surface of the entry that would identify the competitor.

The following must appear on the back of the entry:

  1. The competitor’s name (clearly printed);
  2. A colour coded spot to be placed just above the competitor’s name;
  3. Image title;
  4. An arrow indicating the top of the image.

Print entries must be flat mounted and may be matted. Framed prints are not accepted. In order to prevent damage to other prints in handling, Velcro fasteners are not allowed.

Commercially processed prints will be accepted, but competitors are encouraged to do their own developing and printing.

Film Slide Entries:

35mm slides must be in 2” x 2” mounts not exceeding a thickness of 3/32” (approximate thickness of a GEPE-type glass mount);
Medium format slides must be in 6 cm x 6 cm mounts. If entering medium format slides, notify the Interclub competition representative from the Camera Club of Ottawa (CCO), who will arrange for a medium format projector.

All slide mounts must be free of protruding labels.

The following must appear on the front of the slide:

  1. The title
  2. The competitor’s name (clearly printed)
  3. Colour coded and numbered projection spot on the lower left hand corner when hand-held upright for viewing (note: number must be entered upside down so it becomes right side up in the slide tray)

To ensure uniformity of identification, the same person should identify all entries

Digital Slide Entries:

Each digital slide file shall be submitted in the following format:

  1. High quality JPEGs saved in PC file format - recommend a quality setting of 80% or better (all saving during editing should be done in a lossless format like TIFF or PSD, and only saved to JPEG one time, when editing is complete)
  2. Slides should be in the proper orientation for viewing (upright on monitor and not requiring any rotation)
  3. Resolution shall be no larger than 768 pixels along the longest dimension - recommend not showing anything smaller than 500 pixels.

File name should be in the following format:

  1. Club colour code-Competitor’s name - Slide title.jpg
  2. Club colour code: P (Pink = CCO); G (Green = Club Polarisé); B (Blue = RA) or Y (Yellow = Orléans)
  3. Examples:
    B-Gwen Williams - Girl in Red Hat.jpg
    Y-Peter Faulk - Over the Shoulder.jpg
  4. NOTE: The colour code, dash and first name of the photographer, used in creating the filename, should not have any spaces (e.g. S-Peter), to facilitate sorting.

Although the digital projector can project up to 1024 pixels horizontally, the 768 pixel limit shall be maintained to keep the image size consistent between portrait (vertical) and landscape (horizontal) oriented images. At this resolution, image file sizes should be somewhere between 200-450KB, depending on tonal variations.

Digital slide images may be submitted in one of two ways:

1. (PREFERABLE) By e-mail: To Gord Hopkins gord.hopkins@rogers.com AND Gwen Williams gwenwill@rogers.com . (This duplication will ensure backup, in case of problems.) Entry forms must be given to your club’s Interclub representative.

2. CD or disk: Use a PC-formatted CD or 3 ½” floppy disk in an appropriate container (e.g. plastic case, cardboard sleeve, etc.). Entry forms (in the correct club’s colour) should be wrapped around the CD or floppy disk container and secured with an elastic band. Both the CD/floppy disk and its container should be clearly marked with the photographer’s name.

Judging:

Judging will take place approximately ten (10) days before the competition night. Only the judges and officially designated volunteers will be permitted entry on the judging night. Officially designated volunteers are those people selected by their respective clubs to assist with the judging activities.

There will be three main judges and one backup judge, one supplied by each club. The Interclub organizing committee will determine which club is supplying the backup judge.

Entries will be judged by random presentation.

Each judge will score each entry on a scale of 0 to 10 using the following breakdown as a general rule:

Impact - 0-4 points
Composition - 0-3 points
Technical aspects - 0-3 points

A first, second and third prize will be awarded for each of the following categories:

Slide
Print

In addition, one entry will be selected as Best-in-Show:

The Best-in-Show image will be determined based on individual entry scores. The Best-in-Show image will constitute a separate category and the selected entry will not be considered for individual category honours. In the category from which the Best-in-Show image is selected, the second place image will become first, the third will become second and the highest scoring honourable mention will become third.

In the event of a tie in any of the categories, one of two methods will be used to determine the winners:

  1. The standby judge will be asked to break the tie;
  2. All judges will be asked to break the tie.

A minimum of seven (7) prizes will be awarded.

GOOD LUCK TO ALL COMPETITORS!
